Preferred Name Policy

Overview

91视频专区 College recognizes that faculty, staff, and students may use names other than their legal names to identify themselves for a variety of reasons. The ability to use a preferred name can be particularly important for transgender or gender non-conforming persons. Except when the use of an individual鈥檚 legal name is required by law or policy, individuals will be identified in 91视频专区 College information systems by the preferred name in accordance with the designed use of the software.

Purpose

A person seeking to adopt a preferred name that is different from their legal name must certify that the preferred name is or will be actually used to identify themselves. 

Faculty and staff should contact Human Resources for name changes. 

A preferred name cannot be used for the purpose of misrepresentation or fraud and must otherwise comply with 91视频专区 College policies. The College Registrar will determine if a student鈥檚 preferred name is appropriate under these criteria.  The Human Resources department will determine if a faculty or staff鈥檚 preferred name is appropriate.

Self-Service

In order to update preferred name, gender identity and preferred pronouns, students should log into , on the homepage top right corner, hover over your name and click Profile from the drop-down menu, click on the Preferred name tab enter updated information and click Save. You can also designate your pronouns in your Self Service profile. Pronouns will then appear in course rosters and other lists in Self Service.

College Issued Identification Cards

A person鈥檚 preferred name can be printed on their 91视频专区 College identification card if requested. When obtaining your card through the Department of Campus Safety, please inform the staff member your preferred name, if it is different from your legal name. Faculty, staff or students who update their preferred name after being issued an identification card may request a replacement card, through campus safety.

Identification cards are produced immediately and should be reviewed before leaving the office, to ensure the preferred name is spelled correctly. The identification office is located in the Whitaker Campus Center, room 217 and is open Monday through Friday, 9am to 3pm. Appointments can be made outside of these hours by emailing campus safety at security@hood.edu. Please expect follow up within 48 business hours.
 

College Athletic Teams and Rosters

Student athletes are able to use their preferred name in the institution's athletics system. There are two forms depending on your status as an existing or incoming student.

Student Legal Name Changes

A student is able to submit their legal name change to match their student record to their new legal name by completing the Registrar Name Change Form.

Systems and Processes

91视频专区 College utilizes multiple information systems to manage its operations and processes. Where appropriate, college systems will be modified to display only the preferred name, such as when producing course rosters for students. Instances in which a legal name is required include, but are not limited to, payroll records, billing records, financial aid documents, official transcripts, tax documents and federal immigration documents.

Since students may update their preferred names at any time throughout the year, college information systems will be refreshed on a regular basis. Appropriate system fields, forms, reports and processes that collect and/or use student information will be updated to allow the use of preferred names whenever possible.
